Position Overview

The Administrative Assistant is an integral member of the Triage Cancer team, coordinating programmatic and administrative support. The ideal candidate will be committed to supporting the cancer community and be

Primary Responsibilities

Programs
• Supporting Triage Cancer’s Legal & Financial Navigation Program by answering the phones, scheduling
appointments, and sending follow up communications to individuals who need assistance
• Supporting the fulfillment and distribution of Triage Cancer educational materials to stakeholders across the
country, through the Material Requests Process

Events

• Supporting the preparation for Triage Cancer educational events, and the events hosted by other entities
that we participate in throughout the year, across the country
• Representing Triage Cancer at community events online and in-person, giving away materials, incentive
items, or gift bags, conducting surveys, and directing traffic to the booth
• Assisting in executing Triage Cancer fundraising events

Administrative Support

• Providing administrative support to the organization’s CEO and COO
• Conducting research to support organization activities
• Assisting in other administrative tasks, including:

  • Drafting and sending correspondence
  • Managing calendars, and arranging appointments and travel
  • Picking up/delivering supplies, materials, and mailings
  • Placing orders with vendors
  • Operating office machines, such as phones, photocopiers, scanners, printers, iPads, and computers
  • Maintaining and updating filing, supply inventory, and databases
  • Opening and routing incoming mail, answering correspondence, and preparing outgoing mail
  • Typing, formatting, proofreading, and editing documents and reports

Other duties as assigned

Key Qualifications

• Strong oral and written communications and problem-solving skills
• Excellent customer service skills, with professional demeanor in person, in writing, and on the phone
• Ability to work as part of a team and independently, follow instructions, and be organized
• Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Publisher), email, and the internet

Additional Requirements

• This position is based in the Chicagoland area and is a hybrid remote and in-person position.
• Bachelor’s degree preferred
• Attend trainings as necessary
• Ability to lift 40 pounds
• Valid Driver License and valid automobile liability insurance, or the ability to utilize an alternative method of
transportation when needed to carry out job-related essential functions
• Ability to travel to events throughout the United States as necessary (~4 to 10 per year)

Position Structure

This position reports to the Triage Cancer CEO. This position could be a full time or part time position (20-40 hours
per week), and is a non-exempt, W-2 position. Salary is $18-23/hour, depending on experience. Benefits include:
vacation and sick leave, dental, vision, and life insurance; health reimbursement arrangement (HRA); and SIMPLE
IRA with an employer match. Candidates may also be eligible for Public Service Loan Forgiveness.

Essential Functions

Legal Programs

  • Responding to requests for assistance from the cancer community through the Legal & Financial Navigation Program
  • Conducting research on cancer-related legal and legislative issues
  • Drafting content for educational materials, resources, blogs, and articles on cancer-related legal and legislative issues
  • Supervising student volunteers, interns, and legal externs
  • Maintaining and updating databases and other files

Events

  • Developing and delivering presentations on cancer-related legal and legislative issues for Triage Cancer events and other events in-person around the country and online
  • Supporting the coordination and execution of in-person and online educational events
  • Representing Triage Cancer at trade shows, including staffing a booth, giving away incentive items or gift bags, conducting surveys, and directing traffic to the booth

Communications

  • Promoting Triage Cancer services by engaging in outreach efforts, such as building relationships with the legal community, laws firms, and law schools
  • Contributing to marketing and communications efforts on behalf of Triage Cancer
  • Drafting fundraising appeals, grants applications, and reports to funders

Primary Responsibilities

Fundraising Events

  • Managing and executing in-person and online fundraising events, including registration, logistics, and post-event reporting. Managing direct appeal campaigns and other fundraising efforts
  • Identifying new online and in-person fundraising opportunities
  • Supporting the marketing of fundraising events, including:
    • Updating and developing marketing materials
    • Using and developing content, images, and strategies for social media platforms (e.g., Twitter, Facebook, Instagram, LinkedIn, Pinterest, etc.)
    • Drafting press releases and posting notices on external calendars for fundraising events
    • Conducting Google AdWords campaigns
    • Monitoring and posting on blogs, forums, and social networks

Grants

  • Managing the Triage Cancer grants calendar
  • Researching grant opportunities and potential funders, contacting potential funders to build relationships, and meeting with potential and existing funders
  • Submitting grant applications
  • Compiling data and other information for grant reports and submitting grant reports
  • Managing online grant payment platforms
  • Managing Triage Cancer’s online donation platform

Administration

  • Supporting board fundraising efforts, including the monthly maintenance of the board giving report
  • Supporting donor communications, including data entry, maintaining mailing lists, and drafting and sending communications
  • Drafting of the organization’s annual report
  • Other administrative tasks, including:
    • Conducting phone calls and meetings with donors, partners, and prospects
    • Placing orders with vendors
    • Operating office machines, such as phones, photocopiers, scanners, printers, iPads, and computers
    • Maintaining databases and files
    • Computing, recording, and proofreading data and other information, such as records or reports
    • Typing, formatting, proofreading, and editing correspondence and other documents
